Case study · Folder monitoring

Every morning, it checks your SharePoint folders and emails you what's out of place.

A scheduled Microsoft Copilot Studio agent that audits your folder structure, spots misplaced files and naming issues, and sends a prioritized fix-it report to your inbox — no manual checking.

Platform: Microsoft Copilot Studio + Power Automate
The problem

Nobody notices the mess until it's a mess.

Files drift into the wrong folders, subfolders end up under the wrong parent, names stop following the convention — and no one catches it until someone can't find what they need. Checking a shared library by hand is tedious and never happens consistently, so small filing mistakes quietly pile up.

What we built

A scheduled auditor that reports, not just checks.

Every morning the agent reads your SharePoint folder structure, an AI prompt judges what's misplaced or misnamed against your rules, and it emails a clear report: a summary, each issue with its file path, a prioritized to-do list of what to move where, and a "needs a human" section for the judgment calls.

How it works

Scheduled, metadata-driven, honest about its limits.

01

Runs on a schedule

A Power Automate recurrence trigger starts the agent every morning at 8 AM — set the time and timezone to suit you — with no one having to remember.

02

Read the structure

A Get Files Properties tool pulls the folder and file metadata from your SharePoint library: names, paths, and who created and last modified each.

03

Judge against your rules

An AI prompt checks placement and naming against the rules you define — flagging files in the wrong folder, subfolders under the wrong parent, and naming inconsistencies.

04

Metadata only, honestly

Because it reads properties, not file contents, it won't guess: anything it can't judge from metadata goes into a separate "manual review" list rather than a false positive.

05

Build the report

The output is a structured report — a summary, one entry per issue with the exact path and who touched it, and a prioritized to-do list of what to move where.

06

Email it

The whole report lands in your inbox under a dated subject line, ready to act on.

Why it earns its 8 AM slot

The rules aren't hardcoded — they live in the prompt. Encode your own folder conventions, naming standards, or compliance requirements, and the agent applies them every single day, catching small filing mistakes before they turn into the kind nobody can untangle.

The stack

Built entirely on the Microsoft platform.

Documented, not a black box

The whole build lives in flospect.

Every action, variable, prompt, and connection is cataloged — and the documentation is AI-generated from the real flow structure, so it never drifts from what's actually running.
